Fairview Health Services Patient Services Coordinator - FWF in Maple Grove, Minnesota


The Patient Services Coordinator is responsible for all aspects of durable medical equipment and providing excellent customer service in a fast-paced, ever- changing, and multitasking environment. This position interacts closely with patients and a multidisciplinary team in a highly organized and professional manner. The Patient Services Coordinator ensures an exceptional patient experience is achieved by displaying effective customer service, problem solving and communication skills in a friendly, thoughtful, and empathetic manner. The Patient Services Coordinator also performs a variety of clerical functions.

This is a full time position that is benefit and PTO eligible. It is on our flexible workforce team which will be responsible for covering various locations throughout the West Metro Twin Cities.

Responsibilities/Job Description

  • Knowledge of applicable DME equipment and processes

  • Completes all order and entry functions

  • Demonstrates excellent customer service skills

  • Produces efficient and accurate orders

  • Records and updates patient charts accurately, communicating changes to all involved staff

  • Seeks out solution to conflicts directly through parties involved and other available resources.

  • Adds pertinent information and documents into the patient record in Brightree

  • Navigate through patient medical records using EPIC

  • Arrange for interpreter services when appropriate

  • Completes insurance verification

  • Transfer of equipment/inventory

  • Answers and responds to telephones calls

  • Takes and leaves concise messages for patients; responds as requested

  • Completes clerical duties

  • Reviews and routes scans, faxes medical documents to necessary parties

  • Report professional development to supervisor

  • Meet weekly productivity measurements

  • Implements department procedures to maintain systems and records

  • Maintains databases, files and records on a regular basis according to established procedure

  • Cover different DME showroom locations in Metropolitan area as needed

  • Demonstrates strong communication skills

  • Strong knowledge and familiarity with the Fairview system

  • Strong organizational and prioritization skills

  • Ability to prioritize competing activities


Preferred Education:

  • Associate’s Degree or Bachelor's Degree

Preferred Experience:

  • 1-3 years in a healthcare setting

  • Insurance and Billing experience

  • Previous DME experience

  • Brightree experience

  • Medical terminology or Healthcare background

  • Knowledge of all current DME items carried and billing protocols

  • Ability to educate patients and answer questions regarding product information and use

  • Ability to align payer information and billing requirements to support patient needs

  • Ability to answer all questions regarding equipment and insurance coverage

  • Transfer inventory with precise accuracy between locations using computer software

  • Execute all claim processing for DME orders in an accurate and timely manner

  • Strong knowledge of insurance coverage and current insurance guidelines

  • Accurately bill all equipment for patients receiving their equipment from Fairview Home Medical Equipment, according to doctor orders and insurance guidelines

  • Strong working knowledge of billing systems/processes

  • Meet daily department productivity

  • Ability to follow detailed instructions according to insurance regulations and guidelines

  • Ability to form and keep good relationships with hospital staff ordering products
